Position Overview: 

The United States District Court and the Probation and Pretrial Services Office for the Central District of California is recruiting for the position of Courtroom Deputy Supervisor.  This position reports directly to the Chief Deputy of Operations.  The Courtroom Deputy Supervisor is responsible for supervising magistrate judge courtroom deputies and performs the duties and responsibilities such as the following:  consulting with management in the formulation, implementation, and assessment of office practices, policies and procedures; administers the overall supervision of courtroom deputy personnel.  The Courtroom Deputy Supervisor serves as a mentor to staff members by developing unit goals and objectives, influencing staff, assisting in the implementation of changes, developing job skills through training, and promoting personal and professional development.  The candidate selected as the Courtroom Deputy Supervisor will be onboarded at a CL 28 grade.  Upon successful completion of the first year of work as the Courtroom Deputy supervisor at the discretion of the Clerk of Court and subject to budgetary restrictions, the incumbent may be considered for a promotion to a CL 29 grade.

Representative Responsibilities: 
  • Assigns, directs, and reviews the work of courtroom deputy staff, ensuring that the court’s needs are being met and ensuring that standardized procedures and internal controls are being properly implemented. 
  • Schedules coverage when assigned courtroom deputies are unavailable.  Manages the electronic courtroom deputies’ calendar.
  • Acts as relief courtroom deputy when necessary.
  • Provides and schedules the necessary resources for formal and informal training as needed of new and experienced courtroom deputies and recommends additional training of courtroom deputies to assure effectiveness and efficiency of operations.
  • Coaches and mentors courtroom deputies.
  • Oversees time and attendance of the courtroom deputies to ensure coverage of all court proceedings.  Approves leave request and timesheets ensuring they are in compliance with the Court’s annual and sick leave policies.
  • Establishes performance expectations for courtroom deputies, provide support in meeting performance expectations, and works closely with division managers to ensure that performance expectations are standardized across the district.
  • Evaluates the work performance of the courtroom deputies and adherence with Clerk’s Office policies and procedures.  Prepares and maintains written documentation for periodic reviews and yearly performance evaluations.
  • Recommends personnel actions such as hiring, promotions, reassignments, disciplinary actions, and separations, and coordinates recruitment with Human Resources.
  • Assists with the accurate and timely transmission of statistical reporting that may have national impact.
  • Participates in the strategic planning to meet court needs.  Proposes solutions and collaborates with peers and the Chief Deputy of Operations to implement procedural changes.
  • Reviews operating practices and procedures, and systems and programs to assure efficiency and effectiveness of courtroom deputy operations.  Collaborates with peers and the Chief Deputy of Operations to develop modify and implement procedures.
  • Manages Magistrate Judge Courtroom Deputies SharePoint Site.
  • Processes bills of costs.
  • Holds regular staff meetings.
  • Acts as liaison to visiting magistrate judges, the public, attorneys, Probation and Pretrial Services, and partner agencies such as the U.S. Attorney’s Office, U.S. Marshals Service, and the Federal Public Defender’s Office to solve problems and answer questions.
  • Coordinates the scheduling of courtrooms for special events.
  • Prepares overview memos for confidential matters and assists in scheduling meetings with various agencies and department heads.
  • Manages magistrate judges’ electronic filings and document submission email accounts.
  • Assists with scheduling magistrate judge committee meetings and prepares agendas and minutes.
  • Provides backup coverage to District Judge Courtroom Deputies supervisor.
  • Collaborates with Information Security Officer to handle and process classified, confidential, and high security filings.
  • Performs other Clerk’s Office duties as assigned.
Skills/Qualifications: 
  • Candidates must have a bachelor’s degree from an accredited college or university, or paralegal certificate.  A degree in business, criminal justice, management science, political science, public administration, or related field is preferred.
  • A minimum of three years of progressively responsible professional, supervisory, or managerial experience that provided an opportunity to gain (1) skill in developing the interpersonal work relationships needed to lead employees, (2) the ability to exercise mature judgment, and (3) a thorough knowledge of the basic concepts, principles, and theories of management and the ability to apply the managerial policies in the court environment.
  • Knowledge and understanding of policies and procedures of the Court, and of the federal and local rules.
  • Knowledge of legal terminology and processes and familiarity with courtroom deputy procedures is required.
  • Exhibit excellent computer, verbal and written communications, organizational, and interpersonal skills.
  • Ability to work in a team setting and cultivate teamwork and able to provide guidance and training to employees.
  • Ability to work under pressure (both individually and is part of a team) and successfully manage sensitive personnel matters.
  • Display a positive demeanor and a professional appearance appropriate for the court environment.
  • Familiarity with electronic case management/filing and the court system.
  • Accuracy and attention to detail is essential.
  • Excellent interpersonal and customer service skills.
  • Ability to manage multiple competing priorities, work with limited supervision, and skill in dealing with others in person-to person work relationships.

Preferred Qualifications:

  • Courtroom experience at a state or federal court.
Physical Requirements: 

Work is primarily performed in an office setting.  Occasional travel to other divisional offices may be required.
